Circulation & Access Services: Loans

This guide relates to the borrowing polices and library services offered by the Alma Jordan Library at the St. Augustine Campus of the University of the West Indies

Library Materials

CAS manages the loan service for all library materials including The Course Reserve Collection, housed within the unit. To find out more information about accessing these items, click HERE

Student Loan Privileges

UWI Undergraduates Full Time/Part Time/Evening/Summer School:

Total number of loans is 12:

  • Eight (8) items (books/serials) General Collection
  • Two (2) items from Reserves Collection – three hour loans
  • Two (2) items from Reserves Collection - overnight, three days or seven days loans

UWI Postgraduate Full Time/Part Time/Evening St. Augustine Campus:

Total number of loans is 14:

  • Ten (10) items (books/serials) General Collection
  • Two (2) items from Reserves Collection – three hour loans
  • Two (2) items from Reserves Collection – overnight, three days or seven days loans

 UWI Other Campus (Postgraduates and Undergraduates):

  • Ten (10) items (books/serials) general collection for a period of 2 weeks.
  • No Reserve Collection items are allowed.

 Note: Summer School students are loaned Alma Jordan Library general items for 1 week

UWI Other (Specially Admitted/Occasional, Qualifying/ESL/Exchange Students UWI Registered):

Total number of loans is 12:

  • Eight (8) items (books/serials) General Collection
  • Two (2) items from Reserves Collection - three hour loans
  • Two (2) items from Reserves Collection - overnight, three days or seven days loans

Loan Requests

  • Requests for items currently on loan can be made at the Loans Counter.
  • When those requested items are returned, they are held for a maximum of three days.
  • An item request does not change the original due date, but it does prevent the current borrower from renewing it.
  • An item can be recalled only after it has been on loan for a minimum of 7 days.  If a book has been recalled, a new due date is assigned and fines are charged until the item is returned. 
  • Overnight/3hour loan items cannot be requested.

Inter-Library Loans/Document Delivery

The Alma Jordan Library provides an Interlibrary Loan/Document delivery (ILL/DD) service to staff/students of The University of the West Indies only.  If the library does not own a book, journal or another resource required by a user, this can be borrowed from another library or a commercial document provider. Fines

The Librarian is empowered to levy a fine upon all users who fail to return library material within the prescribed period. The fine for late return of books in the General Collection is one dollar ($1.00) for each day the loan is overdue, including Sundays and public holidays.

The fine for late return of books in the Course Reserves Collection is one dollar ($1.00) per hour or part thereof. Particular attention should be paid to the library’s closing hours. Items due on a particular day and returned via the book chute after closing hours, are considered overdue, since they can only be checked in on the next opening day.

The maximum for each overdue item in all categories is five hundred dollars ($500.00), after which further disciplinary action may be taken. Users are blocked from borrowing once items on loan become overdue and/or they have fines outstanding.

For our electronic devices, the fine for late returns are $20.00 per day. 

Notices will be e-mailed to students’ MyeLearning accounts, notifying them of their outstanding items and/or fines. Items which are not returned after due notice will be presumed lost and treated accordingly. Fines ONLY cease to accrue when the item is reported lost by student.

Electronic Devices

In response to the COVID_19 pandemic, The Department of the Deputy Principal's Office procured various electronic devices (Laptops, MiFi Devices and Tablets) to aid students that were affected by the lack of access to campus resources.

As such the library and by extension the CAS Division facilitates the loan of these items. For more information on accessing these devices, click HERE

Staff Loan Privileges

UWI Academic Staff Academic Research, Senior Administrative and Professional, Associate Lecturer, Part Time Lecturer Staff are allowed a total of 19 items:

  • Fifteen (15) items from General Collection
  • Two (2) items from Reserves Collection – three hour loans
  • Two (2) items from Reserves Collection – overnight, three days or seven days loans

No fines are charged to this category of users, but overdue items must be returned in order to borrow.

UWI Academic Related StaffResearch Assistants UWI/ Tutors/Teachical Assistants/Graduate Assistants/Demonstrators are allowed a total of 14 items:

  • Ten (10) items (books/serials) General Collection
  • Two (2) items from Reserves Collection – three hour loans
  • Two (2) items from Reserves Collection – overnight, three days or seven days loans
  • This category of users pays library fines
  • If this category of staff is also a student, staff record will be disabled

UWI Academic Other Campus (Faculty – Mona, Cave Hill and Open Campus) are allowed a total of 19 items:

  • Fifteen (15) items (books/serials) General Collection
  • Two (2) items from Reserves Collection – three hour loans
  • Two (2) items form Reserves Collection – overnight, three day or seven days loans
  • This category of users pays library fines

UWI Academic Retired

  • Six (6) items (books/serials) General Collection
  • No Reserve items are allowed
  • This category of users pays library fines 

UWI ATSS/UWI Academic Spouse

  •  Six (6) items General Collection
  • No Reserve items are allowed
  • This category of users pays library fines

Loan Renewals

A renewal service is available for 7 additional days for items borrowed from the General Collection (14 and 28 day loans).  Renewals can be done in person or via the phone at 662 2002, Exts. 82132/84030.

Certain conditions apply:

• items can be renewed once only;
• items cannot be overdue;
• if the item is on request, a renewal is not possible.

Please note that items from the Course Reserves Collection and serials cannot be renewed.
